Ship Management Services

One accountable manager for your vessel – technical, crew, safety and budgets – so you can
focus on trading.

Owning a ship is a commercial decision. Running one well is a full-time technical, human and regulatory job. NeoSea takes that job on for you, acting as the owner’s representative under a clear management agreement.

We look after the vessel’s condition, its crew, its certificates and its running costs. You get one point of contact, monthly reporting you can actually read, and a ship that is ready for the next charter, vetting or port State inspection.

Our roots are in crewing. As a DG Shipping – licensed recruitment and placement company (RPSL No. MUM-162374), we know that most incidents, detentions and cost overruns start with people. That is why our ship management is built crew-first: the right officers, properly briefed, supported by a shore team that answers the phone.

Technical management

Your vessel has an assigned superintendent who takes responsibility for its condition. We run the Planned Maintenance System, monitor machinery performance and keep class, flag and statutory surveys on schedule.

Regular visits give us a clear picture onboard. Defects are logged, prioritised and followed through to closure.

Included in this service

  • Planned and condition-based maintenance
  • Class, flag and statutory survey coordination
  • Machinery performance and fuel consumption monitoring
  • Superintendent attendance onboard and in port
Crew management

Crew management is where we began. We recruit, vet, train and deploy officers and ratings, then manage each crew change from the first checks to the final travel arrangements.

Before joining, seafarers receive the briefings and vessel-specific preparation they need. Payroll, allotments and welfare stay part of the assignment throughout.

Included in this service

  • Rank-wise sourcing from our own seafarer pool
  • Certificate, CDC and INDoS verification before every joining
  • Pre-joining briefings, familiarisation and vessel-specific training
  • Payroll, allotments, travel, visas and crew welfare
  • MLC 2006-compliant contracts and no-fee recruitment
Safety, quality & ISM compliance

A working safety system shows up in drills, in reporting and in how findings are closed. We operate a Safety Management System that meets the ISM Code, with ISPS and MLC requirements built into everyday procedures.

Internal audits and near-miss reporting help the vessel and shore team act on issues before they grow.

Included in this service

  • ISM, ISPS and MLC documentation and audits
  • Port State Control preparation and follow-up
  • Incident investigation and corrective action tracking
  • 24/7 emergency response support from shore
Vetting & inspection readiness

For a tanker, inspection readiness can affect its next charter. We prepare the vessel and its officers for oil-major vetting, SIRE 2.0 inspections and terminal checks.

Preparation includes a superintendent’s inspection and coaching for officer interviews. After the inspection, we work through observations and the response to the oil major.

Included in this service

  • Pre-vetting inspections by our superintendents
  • Officer coaching for interview-based inspections
  • Observation close-out and responses to the oil major
Dry-docking & repairs

We start planning a dry-dock months ahead: the work specification, yard quotations, supervision and the agreed budget.

At the yard, daily progress reports keep you close to the work. When an unplanned repair cannot wait, we coordinate with trusted workshops at major ports.

Included in this service

  • Dry-dock specification and yard tendering
  • On-site supervision and daily progress reporting
  • Repair cost control against the agreed budget
Procurement & spares

Stores, spares and lubricants are purchased through vetted suppliers and within the approved budget. Each order is linked to its requisition and approval, so you can trace what was bought and why.

Included in this service

  • Vetted suppliers for stores, spares and lubricants
  • Purchases against the approved budget
  • Traceable requisitions, approvals and orders
Environmental & regulatory compliance

Changing rules can bring new work and new costs. We keep you informed early and manage the environmental monitoring and reporting that apply to your vessel.

For vessels trading in Europe, the scope also covers applicable EU ETS and FuelEU Maritime data reporting.

Included in this service

  • MARPOL, Ballast Water Management and garbage compliance
  • EEXI and CII monitoring and improvement plans
  • EU ETS and FuelEU Maritime data reporting where the vessel trades in Europe
Vessel accounting & budget reporting

You approve the annual operating budget. Our monthly reports show where the money went, what changed and why.

We report line by line, explain variances and keep each vessel’s accounts separate and open to owner audit.

Included in this service

  • Annual OPEX budget preparation
  • Monthly cost reports and variance notes
  • Separate vessel accounts, open to owner audit

SHIP MANAGEMENT /

How a vessel comes under our management

A smooth takeover protects your charter schedule. We follow the same five steps every time.

  1. Due diligence.

We review the vessel's class status, certificates, PMS records and open defects, and inspect onboard where possible.

  2. Agreement and budget.

We sign a management agreement on the BIMCO SHIPMAN standard and agree the first-year operating budget with you.

  3. Documentation.

We place the vessel under our ISM Safety Management System and arrange the interim Safety Management Certificate with the flag.

  4. Handover onboard.

Our superintendent attends the takeover, crews are changed or retained as agreed, and every account and inventory is reconciled.

  5. Steady-state reporting.

From month one you receive cost, technical and crew reports, plus a named contact for anything urgent.

Frequently asked questions

What is ship management?

Ship management is the day-to-day running of a vessel by a specialist company on the owner's behalf. It covers maintenance, crewing, safety, compliance, purchasing and budgets. The owner keeps ownership and usually the commercial decisions.

What is the difference between technical management and full ship management?

Technical management covers the ship's condition, maintenance, surveys and compliance. Full management adds crew management, insurance coordination and accounting. Many owners start with one and move to full management later.

Can I outsource only crew management?

Yes. Crew-only management is our core service. We supply and manage the crew while you or another manager handles the technical side.

Which vessel types do you manage?

We manage [oil and product tankers, chemical tankers, bulk carriers and general cargo vessels]. For other types, contact us and we will tell you honestly whether we are the right fit.

How is the management fee charged?

Most agreements carry a fixed monthly fee per vessel, agreed in advance. Operating costs such as crew wages, spares and repairs are paid from the vessel's budget, which you approve each year.

What contract do you use?

We use the BIMCO SHIPMAN standard ship management agreement, adapted to your scope. It is the form most owners, banks and insurers already know.

How long does a vessel takeover take?

Typically [4–6 weeks] from signing to handover, depending on the vessel's location, crew change plans and flag requirements.

How will I know what is happening on my ship?

You receive monthly cost and technical reports, immediate notice of any incident or detention, and a named superintendent you can call directly.

Do you help with oil-major vetting and Port State Control?

Yes. We run pre-vetting inspections, prepare officers for SIRE 2.0 interviews and follow up every observation until it is closed.

Are your seafarers recruited ethically?

Yes. Recruitment is done under our DG Shipping RPSL licence, with no fees charged to seafarers and contracts compliant with MLC 2006.
